We offer a challenging and interesting role in a dynamic legal team within the legal function of Quintet Private Bank (Europe) S.A. (“Quintet Group”). We are seeking a highly professional administrative and executive support who will be dedicated to the  Group Legal Function. The role reports to the Group Chief Legal Officer based in Luxembourg.  

 

This is a 50% position (20 hours per week).  

Key Accountabilities

 

  • Act as Executive Assistant to the Group Chief Legal Officer providing full diary management and legal administrative support, including booking of business travels 
  • Coordinate Group Legal team meetings and keep track of the agendas  
  • Facilitate the completion of forms and processes, as well as other administrative tasks, including the processing and monitoring of invoices on Group level.  
  • Consolidate and monitor the legal cost line of the Group Legal Function against budget 
  • Support the team of lawyers in reviewing provision levels for legal proceedings 
  • Assist the team of lawyers with fee quote requests for external counsel support 
  • Register and supervise litigation calendaring deadlines 
  • Request and consolidate internal reports on Group level  
  • Assist in drafting letters and presentations and in collecting signatures 
  • Carry out any other duties as may reasonably be required  

Knowledge and Experience

 

  • The qualified candidate must have comprehensive knowledge of legal office procedures, including the ability to manage a complex diary whilst understanding the key priorities, demonstrate initiative and have strong interpersonal, verbal and written communication skills, as well as the ability to use very good judgment in handling tasks in a timely and professional manner with limited supervision.  
  • Strong attention to detail, organization, solid computer proficiencies and the ability to prioritize multiple tasks and problem solving while remaining calm in deadline-driven situations.  
  • The successful candidate will also exhibit a work ethic of punctuality and reliability.  
  • Ensure effective collaboration with the Group team of lawyers and Legal Assistants.

Technical Skills

 

  • Experience of at least 5 years in a similar role in private practice or an inhouse legal department. A finance background is considered as advantage.  
  • Be fully conversant in Word, PowerPoint, Excel and Adobe Acrobat 
     

Languages Skills

 

  • Fluency in English (written and spoken); knowledge of French, Dutch or German is an asset.
